Process Automation in Order Management by AI-based Text Analysis

LESER safety valves are custom made. From the individual orders received in different formats in order management, the production-relevant order data were transferred manually into the product configurator of the SAP ERP system. The aim of the project was therefore the error-free and immediate recording of customer orders using AI technology. The result should be a faster confirmation of the order to the customer, ideally within one day. With LESER’s decision to automate the ordering process based on the Semasuite® text analysis platform, these challenges are now a thing of the past.

Initial Situation

Every day LESER receives orders by e-mail with individual customer requirements for its products as unstructured message text with attachments in the form of PDF and Word documents. In order to process the order, the requested specific product characteristics and their technical quantities, such as response pressure or media temperature, together with the corresponding units and the order quantities, must be transferred to the product configurator of the SAP ERP system. Up to now, data entry has been performed manually by employees in incoming orders. LESER was looking for an intelligent solution to automate this time- and personnel-intensive process.

Solution

In order to evaluate the automation potential, a preliminary project based on the semantic text analysis solution Semasuite® from Telekom MMS was launched. It was intended to show that the data relevant for order creation in the SAP ERP system can be extracted from the order documents received by LESER via AI-supported text analysis, so that the data can be extracted from the order documents received by LESER. During a Proof of Concept, the maximum attainable level of automation was successfully demonstrated by extracting 16 product attributes and fields from incoming customer orders. The result was an immediately applicable Minimum Viable Product (MVP). With the subsequent implementation of Semasuite®, LESER introduced the semantic algorithm to the Productively integrate the automation solution and data integration into the existing SAP system. A support contract for compliance with service level agreements completes the solution to ensure the agreed minimum detection rate.

Benefits and Prospects

With the use of the text analysis platform, LESER uses an important digitization component to optimize processes and increase efficiency. The replacement of manual order processing results in significant time and cost savings. In the incoming order, the detected features are displayed on the screen parallel to the original order, so that the order can be created in the SAP system directly by mouse click after only a short visual check. Employees are thus relieved of manual transmission tasks. Transmission errors of the order data are eliminated. All the information required for production is available faster for production planning and manufacturing. Customers of LESER also benefit from the use of Semasuite®, in particular through shorter processing times and faster deliveries. LESER and Telekom MMS are already working on further applications of the Semasuite® platform. A next focus is the extraction of data from customer enquiries that are relevant for the technical design of a safety valve. This means that the enquiry process will also be automated in the future.
